What is a WMS?

Warehouse management systems explained in plain terms

A warehouse management system, usually shortened to WMS, is software that records what is in a warehouse, where each item is stored, and every movement in and out of it. It answers two questions continuously: what do we have, and where is it. Everything else a WMS does is built on top of those two answers.

What a WMS actually does

A WMS covers the flow of goods from the moment they arrive to the moment they leave. On receipt it registers what came in and which storage location it went to. While goods sit in the warehouse it keeps the stock figure per product and per location current, and it records relocations when items move between places. On dispatch it books the goods out and lowers the stock in real time. Around that core it keeps a transaction history: who booked what, when, and where, which is what turns a number on a screen into something you can audit.

A WMS is not an ERP, and not a stock field in your webshop

The three are often confused. An ERP runs your administration: orders, invoices, purchasing, ledgers. It usually knows how many of an item you own, but not where any of it is. A webshop or accounting package keeps a stock count for a product, which is enough to stop you overselling but tells a picker nothing. A WMS is the layer that knows position: this product is on rack A-03-2, that one is split across two locations, and this movement was booked by this person at this moment. Many businesses run both, with the ERP owning the commercial side and the WMS owning the floor.

When do you need one

You do not need a WMS to hold stock. You need one when people start walking to the wrong place. The usual signals are recognisable: pickers search for items that the system says are in stock, two colleagues cannot update the same overview at the same time, nobody can reconstruct where a delivery went, or a stocktake means closing the warehouse for a day. If more than one person touches the stock, or if stock sits in more than a handful of places, a spreadsheet stops being able to keep up.

What to look for

Match the system to how your warehouse actually works rather than to a feature list. Check that it registers movements at the point they happen, on the device someone is already holding, because a system that requires a walk back to a desk will not be used. Check that it records locations and not just totals, that several devices can work on the same stock at once, and that every movement lands in a history you can search afterwards. Barcode scanning matters as soon as product names get long or similar. Counting and correcting stock is what keeps the figures trustworthy over time, so make sure it is present rather than an afterthought.
